GenInfo - New staff IT setup outline
This article serves as an overview of the steps BTAA IT staff take for onboarding a new employee for non-IT staff to review:
NetID explanation:
New employees have to meet with HR physically (cannot be done remotely) to sign paperwork and go through initial orientation. Once this is done, an email is sent to the new employee to create their NetID. Until their NetID is created though, we are unable to do anything access related as they do not exist yet in the system. There is a balancing act that must be done due to the timing of the new hire's first day, their meeting with HR, and the creation of their NetID. Even after the creation there is another
All of the below steps are completed once NetID has been received from hiring manager or HR.
Email and telecom:
- Work with campus to get them a btaa.org email address
- Work with campus to get them a new phone line
- Add them to shared mailboxes as applicable
- Payables
- Receivables
- Contracts
- SROP Coordinator
- Courseshare Coordinator
- FreeApp Coordinator
- Info@btaa.org
- Traveling Scholar Coordinator
- Add them to main office number "overflow" list if needed
Application Permissions and Access:
- Put them in the proper groups or assign individually as applicable:
- University Microsoft account
- iMIS
- BTAA Teams Tenant
- OneDrive Working Files
- BTAA KB
- Zoom
- Adobe
- Chrome River
- Add to BTAA HQ email list
- Add to department HQ email list
- Copier email shortcut
- Ticketing agent
- SurveyMonkey
- Doodle
- Jotform
- EventSquid
- Sitefinity
- Traveling Scholar
- Sage
- SROP
- Zoom ghost accounts
- Canva
Email Lists:
- Add them to hq@lists.btaa.org
- Add them to hq-chronicle@lists.btaa.org list if needed
- Add them to other lists as needed
Computer Equipment:
- Set them up with necessary equipment (office & remote)
- Order new or more accessible versions if needed.
Office supplies/facilities:
- Set them up with necessary supplies (Desk, chair, office key, trash cans, name plate, workroom mailbox, name on in/out board, BTAA HQ suite key, Atrium Key, BTAA Alarm key fob/keypad code)
